When bank deposits don't match Stripe's reported sales, the gap almost always lives in one of six places: (1) Processor fees netted out of payouts — Stripe deposits gross sales minus fees, so the fee has to be booked separately. (2) Payout timing — sales on the last day of the month settle to the bank days later, creating a cutoff difference. (3) Refunds and chargebacks deducted from later payouts. (4) Reserves Stripe holds and releases on a delay. (5) Consolidated payouts across multiple accounts or currencies landing on one line. (6) Adjustments and disputes buried in the balance-transaction report, not the payout summary. The fix: reconcile against Stripe's balance transactions (not the payouts dashboard), book fees and refunds to their own accounts, and treat in-transit payouts as a reconciling item. Map those six and the "unexplained" variance usually goes to zero — and the same structure works for any processor.
A three-week close is rarely a people problem — it's a sequencing problem. The time usually disappears into three things: waiting on data that arrives late (bank feeds, processor reports, vendor bills), redoing reconciliations because the source data changed, and chasing approvals over email. Compress it by (1) building a dated close checklist with an owner and deadline for every task, (2) front-loading the reconciliations that don't depend on anyone else (bank, processor, payroll) to the first two days, (3) automating the repetitive pulls and tie-outs so they run identically every cycle, and (4) replacing email approvals with a single tracked checklist. Most teams find half their close is waiting, not working. Remove the waiting and the close shrinks on its own — without hiring.
Fintech and payments companies break standard reconciliation because money doesn't move in clean single steps. Three line items cause most of the pain: (1) ACH returns — a payment that cleared can reverse days later, so a "matched" transaction un-matches retroactively; you need a returns-aware match that looks across periods. (2) Reserves — partners hold a percentage and release it on a delay, so cash on hand never equals revenue; reserves need their own tracked account. (3) Interchange & revenue share — net settlement bundles interchange, fees, and revenue share into one figure that must be decomposed to book revenue correctly. Add suspense entries for anything that doesn't match same-day, and reconcile life-to-date rather than month-to-month so timing differences self-correct. This is the structure we've used across multi-program settlement environments.
